When we first opened our doors in 2015, we dreamed of creating a community of families who embrace the philosophies of nurturing the creative individual, building a strong sense of community, and encouraging the next generation to make real connections with people. From facilities to programs, and events, we have done our best to make Baumhaus a second home for you. Because of your support, we have grown into just that! So from our team—a heartfelt thanks!
We will continually strive to make Baumhaus a beautiful place to make your special memories. Based on your feedback, we have put together this handbook of guidelines/terms and conditions to keep the experience for you and all of our families a safe and pleasant one. We welcome your collaboration in building this creative community.
1) Baumhaus Playroom Rules
For children who attend classes at Baumhaus, the term fee includes weekday playroom access. For non-current students, the following rates apply:

Baumhaus Playroom is tailor-made for children 0–4 years old. Baumhaus reserves the right to request for children older than 4 years to leave the playroom.
The maximum number of children permitted in the playroom at any one time is 20. When possible, the Studio areas will be opened up to accommodate more children (maximum 30). In the interests of playroom harmony and safety, Baumhaus reserves the right to refuse entry.
Socks are required for ALL adults.
Supervision of children is not the responsibility of Baumhaus staff members. Parents/Guardians must accept responsibility and supervision for their own child.
Temperature checks and hand sanitiser are mandatory as per our Illness Policy (see item No.3).
The following are prohibited in the Studio and Playroom: the use of mobile phone devices, the consumption of food/drinks and, photography and/or videography of children other than your own.
Adults may only consume food & beverage that is purchased from Baumhaus Coffee Lounge. Baby food is permitted.
Baumhaus shall not be liable for any personal injury or property damage/loss that occurs on the premises.
We reserve the right to use photos, videos and/or sound recordings of children in the playroom or coffee lounge for teacher training, curriculum, and/or promotional purpose, unless otherwise informed by you in writing.
Baumhaus reserves the right to make changes to these terms and conditions.
2) Hygiene Policy
At Baumhaus, the health and hygiene of the children, caregivers and staff are very important to us. On arrival, all children and grown-ups must have a temperature check and wash their hands with a hand sanitizer. All adults must put on socks before entering the playroom/classroom.
The playroom and toys are sanitized/washed daily, twice daily when necessary. However if your child has placed a toy (hard or soft) in his/her mouth, we request that you hand it to reception for sanitizing. Also, if you see any equipment or toy that you deem to be in need of additional sanitizing/cleaning, please tell reception.
All our classroom toys are sanitized after every use. All classroom scarves and instruments are washed and sanitized after each single use.
The facility is cleaned daily by a reputable cleaning company who we work closely with.
3) Child Illness Policy
At Baumhaus, we aim to ensure the environment is as healthy as possible for all of the children and families who attend. In order to minimize your child’s risk of infection, children with any of the following symptoms WILL NOT be admitted to the centre:
A temperature over 37.5 degrees C (temperature will be checked on arrival).
An earache.
A deep, hacking cough.
Severe congestion.
Difficulty breathing or untreated wheezing.
An unexplained rash.
Acute symptoms of food poisoning/gastroenteritis.
Vomiting (in the last 48 hours).
Diarrhoea (in the last 48 hours).
Complaints of a stiff neck and headache with one or more of the above symptoms
Head lice or nits
An infectious /contagious condition.
A child who is on an antibiotic for less than 48 hours.
Baumhaus reserves the right to refuse entry to any child or adult with the slightest flu symptoms and temperature above 37.5 degrees C.
4) Class Terms & Conditions
a.) Class Registration
Baumhaus uses a robust online class management system which allows clients to book classes and settle payments online as well as check the most updated schedule of classes anytime.
All Class spaces are allocated on a first-come, first-served basis. Full term fees are payable and payment is non-refundable.
Included in the term fee is weekday playroom access for the registered child throughout the term. Sibling playroom entry rate applies to siblings. Discounted playroom entry fees apply to registered students on weekends and public holidays. All clients registered for at least 4 consecutive term classes will receive digital home materials.
In order to schedule a class, a personal account needs to be created in the parent portal first.
Following the commencement of term, slots will be limited and will be allocated on a first-come, first-served basis. Term fee will be pro-rated for the remaining weeks in the current term.
b.) Trial classes
A trial class is for first time students only and is limited to one per child. Pre-registration is required.
The fee for a trial class is the one session rate of HKD 350 per child including free same-day playroom access.
Trial classes can be booked through the Parent Portal in our online class booking system.
Term Enrollments are given priority. Therefore, if a new enrollment occupies the last space in the class, the most recently booked Trial client will be contacted via email and offered an alternative day and time for the previously confirmed class (a minimum of 24hrs notice will be offered).
Socks are a requirement for adults, and non-slip socks are advisable for children over the age of 4yrs.
Availability for a trial class does not guarantee availability in that slot for the duration of the term. We will do our best to find a suitable slot for your child.
Management reserves the right to make the final decision on all matters.
c.) Private classes
Private Group Classes are privately organized classes running in a private venue. The minimum required number is 6 children. For families who prefer smaller groups, the minimum fee for 6 children applies.
All participating children/families should know each other. Advertising the classes publicly (including on online forums) is not allowed.
By booking a privately organized Private group class, the host agrees and is responsible to follow our health & safety guidelines. For details kindly check the Illness Policy under No. 3.
The fee per Private group classes per child is HKD 380. The minimum fee per private class session is HKD 2,280 (based on 6 children attending). An additional transportation fee applies - depending on the venue of classes. Class fees are non-refundable. Class fees need to be settled at least two weeks before the first class.

Two make up classes in lieu of missed classes are being offered per term. Make up classes may be arranged in the Baumhaus Wan Chai center, subject to availability.
If the teacher is absent due to unavoidable circumstances and a suitable replacement is unavailable, notice of class cancellation will be given to the group host via email. An additional date will be added to the class dates in lieu of this type of missed class.
Adverse weather conditions can impede upon traveling arrangements. All classes will be cancelled in the event of Black Rain or a Signal T8, or higher. In the event of a lower weather warning (i.e. Amber/Red rain or a Signal T3), the status on the day will be evaluated and the group host will be contacted to confirm if the class will proceed or not.
Baumhaus reserves the right to make final decisions on any disputes.
Baumhaus reserves the right to make changes to these terms & conditions as necessary.
d.) Make up class policy
Subject to availability, term-time students are offered a minimum of two make-up classes for notified missed classes, to be used up within the current term during special weekends and/or, where relevant, during camp immediately following the term. Make-up classes cannot be carried forward to another term.
It is necessary to provide advance 24-hours notice when you cannot attend a class. Make up classes can be booked or future unattended classes put on hold through the Parent Portal in our online class booking system.
If our available dates for make-up classes do not match your child’s schedule, then we cannot accommodate your make-up class.
Term Enrolments are given priority. Therefore, if a new enrolment occupies the last space in the class, the most recently booked Make-up client will be contacted via email and offered an alternative day and time for the previously confirmed class (a minimum of 24hrs notice will be offered).
It is not possible to reschedule a missed make-up class.
e.) Public holidays
Baumhaus is open on public holidays in Wan Chai Centre at 9am–6pm. However, there are no classes offered on these days.
If your regular class falls on a public holiday, an alternative class may be requested through the Parent Portal in our online class booking system.
f.) Others
Whenever mandated in the interest of safety, class structure and size as well as general studio capacities may be adjusted or minimized to ensure a safe social distance between students. All registered clients will be informed by email about any changes.
Baumhaus reserves the right to postpone centre operations/classes whenever deemed appropriate in the interest of safety. In the case of activity cancellations, all registered clients will be informed about class alternatives by email, which will be reflective of safety precautions at the given time.
In the past terms, some alternatives have been:
Online classes
Private classes at a private venue (offered when safety numbers are more controlled)
Transferring class credits towards a later time
Transferring class credits towards an event, playroom or cafe vouchers or to another child
5) Referral Program Policy
The Referral Program is applicable to term-time enrolments only. It does not apply to camp periods.
The Referral Program is valid from the enrolment period for Fall Term 2017 at Baumhaus, onwards.
The Referring Client must be an existing or previous client of Baumhaus.
The Referred Client must be a new client of Baumhaus classes (cannot be a previous or existing class client except a client who has just attended one trial class).
The Referral Policy benefits both the referring, and the referred clients.
The Referring Client will receive 10% off the following term for every new client who successfully submits a term-time registration quoting the client who referred them, and making the term payment in full.
Only one person may be quoted as the Referring Client per each new client.
Once the online term class booking has been successfully submitted, the new client will receive 5% off the term for which they have just enrolled.
Once payment by the new client has been made, the Referring Client will receive a 10% Referral Discount Code that will automatically be applied to the following term.
The discount cannot be used on the Referring Client’s current term.
Referral Discount codes can be combined and used with other offers, including but not limited to Early Bird discounts and sibling discounts.
The Referral Discount Codes apply to term-time enrolments only. They do not apply to camp periods.
The Referral Discount Code value holds no monetary value, and unused discount codes cannot be redeemed by any other means.
The discount codes are non-transferrable.
This offer is non-retrospective and cannot be redeemed against previous terms or payments.
Offer subject to change without notice.
Baumhaus management reserves the right to settle all disputes.
All term-time classes are subject to terms and conditions of Baumhaus, Kindermusik by Baumhaus, and Kindermusik with Crisel.
6) Adverse Weather Policy
T1 & T3, and Amber & Red Rain
Baumhaus operates as normal during a T1 & T3, and during Amber & Red Rain. All classes will run as scheduled in such conditions. Please exercise caution when travelling to and from Baumhaus.
T8 & above, and Black Rain
Baumhaus will be closed when a T8 or above is hoisted, and/or when Black Rain signal is in effect. We will open, and classes will resume 2 hours after such warnings are lowered or removed.
Classes that are cancelled due to such conditions will not be rescheduled. However, if you have a make-up class remaining (2-3 during term time; 1 during camp), you may request a make-up class in lieu of such a missed class. Make-up classes can be booked through the Parent Portal in our online class booking system.
7) Code of Conduct
Please switch off your mobile phones in the classroom.
Parents/Guardians must remain onsite while their children are attending classes. Children under 3yrs of age must be accompanied in class by an adult. We have a one child one adult policy. No siblings are permitted in the classroom.
Please do not bring your child to class if they are unwell (if they have a cough, a common cold, are congested etc.). This is in the best interests of your child and of other children using the service. If you attend a class and we deem your child to be unwell we have the right to ask you to leave. Please refer to No. 3 child illness policy.
Please take care of your children and your belongings while at Baumhaus. Baumhaus shall not be liable for any personal injury or property damage/loss.
All adults must wear SOCKS in the playroom and studio. Shoes and barefoot are not permitted in these areas. Socks are available for sale at the reception for HKD 10.
Food and drinks are prohibited in classrooms and in the playroom.
Parents/Guardians are not permitted to take photos/videos during class as well as when staying in the playroom.
We reserve the right to use photos, videos and/or sound recordings of children for teacher training, curriculum, and/or promotional purpose, unless otherwise informed by you on your term registration form.
Baumhaus reserves the right to make all final decisions. Schedules, fees and policies are subject to change without prior notice.
8) Private Playdates
Maximum number of children for each class is 8 and the minimum number of children is 5. Less children in the class will not result in a lower fee. Private playdate fee includes same day playroom access for all participants. Playroom fee of 60 HKD applies to siblings who do not attend the private class but would like to join and play in our playroom.
Subject to availability. Pre-registration is required. Limited to one per group. Class includes same day playroom access.
Full payment is due a minimum of two weeks before the date of the class. Payment is non-refundable.
One week notice is required for rescheduling. Rescheduled class must be scheduled within a month from the date of the original class, subject to availability. Only one rescheduling is permitted.
Socks are a requirement for adults, and non-slip socks are advisable for children over the age of 4 years old. All participating children need to be registered (latest registration possible onsite on the day of private playdate.
No outside food can be brought into Baumhaus with the exception of baby food.
In the event of a dispute, Baumhaus Management reserves the right to make the final decision on all matters. Offer subject to change without notice.
9) Gift vouchers
Baumhaus vouchers are available for classes and playroom access.
Trial class vouchers are subject to Trial Class terms (see above).
Same-day playroom access is valid for (trial) class vouchers (on the day the voucher is redeemed).
The day and time on which you attend the class with your voucher will not necessarily be available for the remainder of the term. To schedule your class please email info@baumhaus.com.hk. We will do our best to find a suitable slot for your child.
Lost, expired and/or images of vouchers cannot be redeemed.
Management reserves the right to make the final decision on all matters.
10) Birthday Parties
a.) Exclusive Birthday Parties:
Functions at Baumhaus are reserved on a first-come, first-served basis. Our Exclusive Party Package will give you and your guests 2-hour private use of our entire Baumhaus Wan Chai space and a 45-minutes private class.
Before your party can be booked, you must fill out the online application form. Bookings cannot be made over the phone.
A 50% non-refundable deposit is required to secure your booking. We cannot reserve your party without a deposit.
The full payment balance is due 2 weeks prior to the party date. Final numbers must be confirmed at this time. If more children attend on the day of the party, it will be necessary to pay HKD 150 for every additional child.
Fees paid for additional children who do not attend the party will not be refunded.
Payments can be settled via online bank transfer, EPS or cheque. A copy of the confirmation must be sent to the Events Manager. Payment will not be accepted on the day of the party. We do not accept cash payments.
Baumhaus Playroom rules apply to all functions at Baumhaus. All guests are required to wear socks in the playroom and studio. Please inform your guests.
Fees: The exclusive party package fee for 2-hours is $8,500 HKD. There is a minimum spending of $2,500 HKD for food and beverages.
Time Extensions prior to Party: Parties may extend their allotted time prior to the date of the event as follows: HKD 1500/hour, an additional $1,000 HKD for food and beverages applies.
Catering Terms: Food and beverages shall be ordered through the Baumhaus Cafe. You are welcome to bring your own birthday cake. There is no cake-cutting fee. Alcoholic Beverages are not permitted at Baumhaus during daytime events and parties. Some exceptions can be made for exclusive parties. In the case of a catering dispute, the Catering Manager reserves the right to make the final decision on all matters.
Set up: You are welcome to come to Baumhaus 30 minutes before your event to set up. Guests will not be granted access until your designated party slot.
Decorations: Balloons, Bunting and birthday banners are permitted. Blue tack is the only acceptable adhesive.
Postponement of a booking will only be accepted in the event of a Black Rainstorm Warning or if a Typhoon No.8 or above is hoisted at or before 7am on the day of the party. Fees will not be refunded. The party may be rescheduled within 2 months, subject to availability.
In the event that you should have to postpone your booking due to unavoidable circumstances, a minimum of 3 days notice is required. There will be a HKD 2,000 fee to reschedule. If the Food Package is cancelled later than three days notice, payment is forfeited.
All guests must vacate Baumhaus within 15 minutes of the end of the party or the fee for an additional hour will be applied.
In the event of a dispute, Baumhaus and its staff reserves the right to make the final decision on all matters.
b.) Mobile Parties:
Mobile Parties by Baumhaus are reserved on a first-come, first-served basis. Before your party can be booked, you must fill out the online application form. Bookings cannot be made over the phone.
The full payment for the selected mobile party package is due on invoice receipt. Final numbers must be confirmed at this time. If more children attend on the day of the party, the package would have to be adjusted and the balance payment made directly after the party.
Fees paid for additional children who do not attend the party will not be refunded.
Payments can be settled via online bank transfer, EPS or cheque. A copy of the confirmation must be sent to the Events Manager. Payment will not be accepted on the day of the party. We do not accept cash payments.
Postponement of a booking will only be accepted in the event of a Black Rainstorm Warning or if a Typhoon No.8 or above is hoisted at or before 7am on the day of the party. Fees will not be refunded. The party may be rescheduled within 2 months, subject to availability.
